Induction is like the anchor on the ship, the light in a darkened room, the instructions booklet to a new equipment, the color on a bland wall. Without it a new employee can drift aimlessly and helplessly; never knowing the possibilities and fail to fully engage with the new company.
The ‘right’ person can be lost in the first few days if they experience the ‘wrong’ induction. After making the investment in good recruitment, it’s essential that a similar investment is made in high quality induction.
The aim of an induction process should be to make the new person:
- WELCOME – feel that they are valued and will fit with the team
- CONFIDENT – that they can do the job that has been comprehensively explained to them
- OPTIMISTIC – about their future with the company
- EXCITED – about the potential opportunities in the role and the company
- IDENTIFY – with the company’s philosophies and objectives and feel happy and even proud to be part of it.
WHAT IS THE POINT OF INDUCTION?
- Enable new employees to settle into their new position quickly and become productive and efficient members of staff within a short period of time;
- Provide an overview of the organization and enable the new employee to see where they fit in to the big picture;
- Ensure that new entrants are highly motivated and that this motivation is reinforced;
- Assist in reducing staff turnover, lateness, absenteeism and poor performance;
- Assist in developing a management style where the emphasis is on leadership,openness and honesty;
- Ensure that new employees operate in a safe working environment;
- Reduce costs associated with repeated recruitment, training and staff turnover.
INDUCTION CAN BE DIVIDED INTO FOUR STAGES TO SIMPLIFY THE PROCESS
Stage 1 – Before the person joins
Stage 2 – On the very first day
Stage 3 – During first week
Stage 4 – During first month
STAGE 1 – PRIOR TO ARRIVAL
- Essential letters should be ready.(Offer/Appointment)
- Work environment (work station, laptop, induction program schedule, email id, extension, Access card etc.)
- Updated MSI (Management Standing Instructions)
- Mail to departments for Induction schedule
STAGE 2 – DAY OF ARRIVAL
- Welcome mail
- Joining Kit (Essential forms which are required to be filled by an employee)
- HR Induction (regarding policies & procedures)
- Introduction to team
- Discussion on JD & KPIs
- Tour of company (Fire Alarms, Cafeteria, Toilets, Car parking space etc.)
- Access card registration
STAGE 3 – DURING FIRST WEEK
Departmental induction should be completed within the period of one week to let a new employee understand when to ask whom?
STAGE 4 – DURING FIRST MONTH
- Discuss short term training needs with reporting manager & employee, if any.
- Issues/Problems encountered during the first few weeks.
- Explain departmental structure, values and objectives of departmental meetings
